ClickPay Refund: How to Cancel, Void or Reverse a Payment

Short answer

If the payment is still in your ClickPay Payment History with a Void or Cancel option, use it — that is the only refund you control yourself, and ClickPay's walkthrough says one-time payments can only be cancelled on the same day, before 4 pm. Once that option is gone, the money is on its way to your property, and only your property manager can authorise a refund: they send a written request to ClickPay. ClickPay's help centre says refunds can't be processed until five business days after the original payment.

ClickPay’s own help splits this across several articles and older documents that partly contradict each other. This guide follows the current terms where they speak, and ClickPay’s help centre and resident walkthrough where they don’t.

Step 1: Try to void it yourself

Open Payment History, find the payment and look for Void or Cancel.

  • ClickPay’s resident walkthrough says a one-time payment can be cancelled only if the request is received and confirmed before 4 pm on the day it was authorised.
  • Voiding works for e-check and card payments.
  • If the option is missing, ClickPay’s help centre says the payment “has already been sent out for processing” — move on to step 2.

For AutoPay or scheduled payments, ClickPay’s current terms let you cancel in the portal at least one business day before the processing date. AutoPay runs at about 4 am Eastern, so cancel two business days ahead. Our AutoPay guide covers this in detail.

Voided card payments can still look pending

A voided card payment may stay on your card statement as "pending" for up to seven business days before it drops off. You won't be charged. Wait it out rather than disputing it.

Step 2: Ask your property manager

Once a payment has processed, the money belongs to your property. ClickPay’s help centre says refunds need a written request from an authorised person at your management company to ClickPay. You can’t request one from ClickPay directly.

Email your manager:

Subject: Refund request – [address and unit]

On [date] I paid $[amount] through ClickPay (confirmation [number]).
This was [a duplicate of payment [number] / the wrong amount / for the wrong unit].
Please request a refund of $[amount] from ClickPay, including the
$[fee] convenience fee, back to my original payment method.

If you’d rather keep the money as a credit — a common choice for a duplicate payment near month-end — say so instead. A ledger credit is instant; a refund takes days.

How long it takes and where it goes

  • ClickPay’s help centre says refunds can’t be processed until five business days after the original transaction — the bank transfer has to settle first.
  • After that, expect a few more business days to reach your bank or card. ClickPay’s older terms gave 48 to 96 business hours once a refund is requested.
  • Refunds go back to the original payment method. ClickPay’s terms allow it to credit your designated account to correct an error, and say that if it can’t, the funds may eventually be handed to your state as unclaimed property. Keep the old bank account open until the refund lands.

Duplicate payments

The commonest cause is AutoPay plus a manual payment for the same month — which is why ClickPay asks for your initials before a one-time payment when AutoPay is scheduled. ClickPay’s older terms say multiple payments submitted by you are not an “errant debit,” so there’s no automatic refund.

Your options: ask your manager to refund one payment, or leave it as credit for next month. If a late fee or overdraft followed, ask about that too.

Will the convenience fee come back?

ClickPay’s documents disagree. Its older terms say convenience and service fees are non-refundable, but the same document says card refunds include “any applicable service fee.” The current terms don’t say either way.

In practice, ask. If the mistake was the property’s — a wrong balance, a duplicate AutoPay run caused by its upload — it has a good reason to cover the fee.

Why not just dispute it at the bank?

A bank dispute or chargeback is fast, but ClickPay then blocks online payments from your account until you withdraw the dispute and send ClickPay proof. A rent payment reversed at the bank also reaches your landlord as a returned payment, which can mean a fee. Use a bank dispute only for payments you never authorised — see why ClickPay won’t let me pay.

Refunds when you move out

Overpayments often surface at move-out: a last month’s rent paid twice, or AutoPay running after you’ve left. Refunds of a final balance usually come through your property’s move-out accounting — often alongside the security deposit return — rather than as a ClickPay refund.

To keep it simple:

  1. Cancel AutoPay two business days before your final payment would otherwise run.
  2. Ask your manager how any credit balance will be returned, and to which address.
  3. Keep your ClickPay login until the final statement arrives; your Payment History is your proof of what you paid.
  4. Don’t close the bank account you paid from until any refund has landed.

What to do next

  1. Check Payment History for Void or Cancel — today, before 4 pm.
  2. Cancel future AutoPay runs two business days ahead.
  3. Email your manager using the template for anything already processed.
  4. Choose refund or credit for duplicates.
  5. Keep the original account open until the refund arrives.

Frequently asked questions

Can I cancel a ClickPay payment after I submit it?
Sometimes. ClickPay's resident walkthrough says a one-time payment can be cancelled only if the request is received and confirmed before 4 pm on the day it was authorised. Look for a Void or Cancel option in Payment History. Scheduled payments and AutoPay can be cancelled in the portal at least one business day before they process.
Who gives the refund — ClickPay or my landlord?
Your property manager decides. ClickPay's help centre says an authorised manager must send a written refund request to ClickPay. ClickPay's terms also send payment disputes to the property you paid.
How long does a ClickPay refund take?
ClickPay's help centre says a refund can't be processed until five business days after the original transaction. After that, an e-check refund usually takes a few business days to reach your bank. A voided card payment can still show as pending on your card statement for up to seven business days.
Will I get the ClickPay convenience fee back?
Don't count on it. ClickPay's older terms call convenience and service fees non-refundable, though the same document says card refunds include any applicable service fee. The current terms are silent. Ask your property manager to include the fee in the refund request, especially if the error was theirs.
I paid twice by accident. Is that ClickPay's error?
Usually not. ClickPay's older terms say multiple payments submitted by the user are not an errant debit. Ask your manager to refund the second payment, or to leave it as a credit toward next month if that suits you.
